Job Description:
Burwood Media is seeking a full time Talent Coordinator to support our Production Manager in organizing travel arrangements for DJs, onboarding new talent, and assisting in managing show schedules.
The ideal candidate will be responsible for managing budgets, resolving travel-related issues, and ensuring smooth communication.
This role requires a high level of organizational, communication, and customer service skills. The candidate must maintain detailed records and efficiently use travel booking software.
Key Responsibilities
- Tour Planning: Coordinate flights, accommodations, ground transportation, and other logistics for DJs.
- Budget Management: Monitor and manage travel budgets, communicate with venues to optimize costs, and track expenses.
- Logistical Support: Provide full logistical support for all travel arrangements, ensuring smooth execution.
- Documentation: Maintain detailed records of receipts and travel-related expenses.
- Problem Resolution: Resolve any travel-related issues promptly, including cancellations, delays, or emergencies.
- Communication: Ensure DJs are informed and prepared for travel.
- Availability: Be available to address urgent travel issues outside regular business hours.
- Talent Onboarding: Facilitate the onboarding process for new DJs, including reviewing applications, conducting interviews, and onboarding process.
- Show Schedule Management: Assist organizing show schedules for DJs, ensuring all bookings are accurate and up-to-date, and communicating changes or updates to all relevant parties.
- Talent Support: Act as the primary point of contact for DJs throughout their onboarding and during the duration of their work with Burwood Media, addressing any questions or concerns they may have.
Preferred Qualifications
- Proven experience in travel booking, logistics, and talent coordination within the music or entertainment industry.
- Database management experience – including Google Sheets, Excel, and Airtable
- Attention to detail, accuracy, and a detail-driven mindset.
- Desire to work in a fast-paced, results-oriented environment
- Strong written and verbal communication skills required
- New York-based and able to work from our offices in Williamsburg, Brooklyn 3 days a week.
