Job description
As the Creative Coordinator, you’ll be working alongside the London A&R/Creative team in a client-facing role, assisting with everything from scheduling meetings and managing calendars to coordinating events and managing two studios.
Reporting to the Head of Creative UK & GSA, this is a London based position requiring you to be in the office 4 days per week.
Your role will be instrumental in supporting the creative team’s vision and ensuring the smooth flow of operations in Kobalt’s fast-paced and dynamic environment.

WHAT DOES A CREATIVE COORDINATOR DO AT KOBALT?
- You provide support to the Head of Creative UK & GSA for diary management and expenses plus various ad-hoc duties including raising POs & chasing payments for event bookings, tickets buys etc.
- You support the London Creative team with booking in guests and looking after them upon arrival, scheduling and sharing agendas and minutes for weekly A&R and songwriter meetings as well as assisting with keeping internal calendars up to date for gigs, internal and external events.
- You manage diary and bookings for two onsite recording studios and coordinate writing sessions for UK-based and international writers as well as chase song splits and support internal teams with registering songs, collecting demos and ingest works into Disco etc.
- You maintain & distribute weekly reports of UK chart entries, Radio 1 Playlist and weekly releases, updating and sending out the ‘UK Who’s
- Looking List’ to clients as well as creating bespoke UK writer roster/bio one sheets and genre specific roster docs.
- You manage awards submissions and event management for the Ivors, Music Week etc. and general event management for A&R Awards, Brits as well as key artist shows, office artist showcases etc.
- And finally, you aid the team in their creative efforts (going to shows & events) as well as keep track of all London gigs for Kobalt Artists and potential signings.
WHAT SKILLS AND EXPERIENCE ARE WE LOOKING FOR?
- You have a proven track record of working to strict deadlines in a creative and client facing environment handling scheduling, coordinating meetings as well as managing a variety of administrative tasks.
- You are a communicative and proactive self-starter and have a strong worth ethic and a willingness to learn.
- You are humble and empathetic with strong relationship-building skills having worked closely with colleagues and clients at all levels.
- You have excellent IT and tech skills proficient in using both Mac and PC as well as Google Workplace (Gmail, Calendar, Docs, Sheets, Slides) and MS Office (PowerPoint, Word, Excel etc.).
- But most importantly, you have a love of music and a strong desire to work in a creative team at a music publisher working closely with some of the greatest talent in the world.
