Peermusic was founded over 90 years ago and is the largest independent music publisher in the world with 34 offices in 30 countries. The role is based in Burbank, CA.

We are seeking an exceptionally organized and proactive Executive Legal Assistant to provide high-level support for the department of legal and business affairs of an independent global music company, reporting to the Chief Counsel.

As a critical supporting member of a global corporate team, you will play a vital role in a dynamic and growing entertainment company, supporting staff attorneys and enabling the Chief Counsel to focus on strategic corporate, transactional, litigation, and policy initiatives.


Responsibilities
  • Provide expert legal administrative support, including managing complex calendars and travel arrangements, expense reports, CLE and internal training requirements.
  • Prioritize, manage, schedule, and facilitate a high volume of international meetings and conference calls, internal and external. Participate in and take electronic notes of all required meetings; provide action points and notes to file.
  • Manage and coordinate strategic projects; analyze, report on progress and various ad-hoc projects
  • Screen, analyze, log, and prioritize high volumes of incoming correspondence from counterparties and clients as well as creative, administrative, and executive personnel worldwide.
  • Oversight and operation of task management, contract workflow, and legal billing software platforms.
  • Contract review across a variety of entertainment and corporate transactions.
  • Rapid, on-the-fly research of electronic files and correspondence to understand, identify, and summarize critical active matters.
  • Preparation and compilation of deal forms and correspondence to facilitate and expedite drafting by attorneys.
  • Tracking of contract progress and oversight of all exhibits, attachments, deliverables, and vouchers for payments on execution, contract summaries and circulation.
  • Litigation support – tracking deadlines, managing discovery and status updates
  • Support in corporate secretarial functions (corporate establishment, registration, and governance)
  • Resolution of general administrative issues: interdepartmental communications and requirements, liaising with office and facilities personnel; oversight of departmental logistics.

Requirements
  • Minimum 3 years’ experience supporting senior executives
  • Bachelor’s degree or equivalent
  • Exceptional written and verbal communication skills; previous professional writing experience a plus
  • Data literacy and proficient business math
  • Organizational skills and ability to multi-task in a fast-paced environment
  • Ability to exercise independent judgment in prioritization and time management
  • Extensive professional (or academic) experience in Microsoft Office environment, including Word, Outlook, Excel (including formulas), PowerPoint,
  • SharePoint, and Teams. Microsoft Access skills (including familiarity with SQL and Visual Basic tools) a strong plus. Expert redlining skills required.
  • Proficiency across multiple e-signature platforms
  • Unparalleled natural-language and KQL search proficiency within SharePoint, Outlook, and the web
  • Discretion and extreme confidentiality in handling of sensitive information
  • A second language is an asset
